Terms of Service

These Terms of Service (“Terms”) govern your access to and use of Certibee—the Certibee websites, mobile applications, and related services (collectively, the “Service”), operated by Certibee (“Certibee,” “we,” “us”). By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.

1. Eligibility & accounts

You must be at least 16 years old (or the age of digital consent in your jurisdiction) to use the Service. You are responsible for the accuracy of your account information, for safeguarding your credentials, and for all activity under your account. You may sign in via Google, Apple, or a one-time email link; your use of those providers is also subject to their terms.

2. What Certibee is — and is not

Certibee is a tool for you to store, organize, track the expiry of, and selectively share your professional credentials. Certibee is not an issuer, registrar, accreditor, or guarantor of any credential.We do not certify that any credential is genuine, current, or that a person is qualified. A “verified” indicator means only that an original document is on file or that a stated verification step (e.g., an issuer badge or public registry link) was available—not that Certibee has independently authenticated the credential.

3. Your content and credentials

You retain all rights to the documents, images, and information you upload (“Your Content”). You grant Certibee a limited, non-exclusive license to host, process, display, and transmit Your Content solely to operate and provide the Service to you and the recipients you choose. You represent that you have the right to upload Your Content and that it relates to credentials you genuinely hold.

4. AI processing (document scanning)

The Service uses automated and third-party AI systems (currently Google’s Gemini API) to read uploaded documents and extract suggested fields. AI output may be inaccurate or incomplete.Extracted data is a draft for your review; you are responsible for confirming and correcting it before saving. Certibee is not liable for decisions made in reliance on AI-extracted data you did not verify.

5. Acceptable use

You will not: (a) upload forged, altered, fraudulent, or stolen credentials, or credentials that are not yours; (b) impersonate any person or misrepresent your qualifications; (c) use the Service to deceive an employer, regulator, or any third party; (d) attempt to access another user’s data, circumvent security or access controls, or scrape the Service; (e) upload malware or unlawful content. Misrepresenting credentials may be a crime and may carry serious professional and legal consequences.

6. Sharing

The Service lets you create share links and grant access to organizations or individuals. You control scope and may revoke access; however, information you have shared may have been viewed, copied, or retained by recipients before revocation. You are solely responsible for what you choose to share and with whom. Recipients agree to use shared information only for the purpose for which it was shared and in compliance with applicable law.

7. Organizations

If you use Certibee as part of an organization (e.g., as an administrator tracking a workforce), you represent that you are authorized to do so and that you have a lawful basis to receive and process members’ credential information. The organization is the controller of that information for its own purposes and is responsible for its own compliance.

8. Subscriptions & payments

Some features may require a paid subscription. Fees, billing cycles, and renewal terms will be disclosed at purchase. Unless required by law, fees are non-refundable. We may change pricing prospectively with notice.

9. Intellectual property

The Service, including its software, design, and trademarks, is owned by Certibee and protected by law. These Terms grant you a limited, revocable, non-transferable license to use the Service for its intended purpose. No other rights are granted.

10. Disclaimers

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ACCURACY. We do not warrant that the Service will be uninterrupted, error-free, or that any credential, extraction, or verification indicator is accurate or complete.

11. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, CERTIBEE WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, DATA, OR GOODWILL. OUR TOTAL LIABILITY FOR ANY CLAIM RELATING TO THE SERVICE WILL NOT EXCEED THE GREATER OF (A) THE AMOUNTS YOU PAID US IN THE 12 MONTHS BEFORE THE CLAIM, OR (B) USD $100.

12. Indemnification

You will indemnify and hold Certibee harmless from claims, damages, and expenses (including reasonable legal fees) arising from Your Content, your use of the Service, your sharing decisions, or your breach of these Terms or applicable law.

13. Termination

You may stop using the Service and delete your account at any time. We may suspend or terminate access if you violate these Terms or to protect the Service or other users. You may export Your Content before termination; see the Privacy Policy for retention and deletion.

14. Governing law & disputes

These Terms are governed by the laws of the jurisdiction in which Certibee is established, without regard to conflict-of-laws rules. The competent courts of that jurisdiction will have exclusive jurisdiction, unless mandatory local law provides otherwise.
